Eight to Twelve Weeks Before Arrival

Four Weeks Before Arrival
Security assessment. If a personal security detail is travelling with the principal, coordinate a pre-arrival property assessment. Leading luxury villa operators will accommodate — and often facilitate — this process professionally.
Ground transportation confirmation. Confirm vehicle types, driver clearances, and route planning. For high-profile wealth clients, confirm that alternative routes and contingency vehicles are pre-positioned.
Curated experience programming. Confirm restaurant reservations, yacht access, cultural experiences, and any bespoke programming the guest has requested. At the ultra-luxury level, these should be fully confirmed — not tentatively held.
One Week Before Arrival
Villa walk-through confirmation. Request photographic or video confirmation from the villa manager that the property has been prepared to specification. Luxury resorts do this as a matter of course; the finest private villa operators are equally rigorous.
Provisioning completion. Confirm that all food, beverage, and specialist product provisioning has been completed and that any items sourced internationally have cleared customs if applicable.
Staff briefing confirmation. Confirm that all villa staff have received the guest profile and been briefed on specific protocols, communication preferences, and schedule expectations.
Arrival Day
Coordinate private jet landing confirmation and ground transfer positioning before the principal boards. Brief the principal on the arrival sequence. Confirm that the villa manager is on-site and that all systems — climate, lighting, catering, security — are active.
